SU becomes first public varsity of Pakistan to embrace automation system in its finance wing


JAMSHORO: 17, DECEMBER, 2021: (Report By: Ali Murad Chandio): The finance wing of the University of Sindh (SU) Jamshoro has been transformed into a fully automated system, after which the financial matters have become more transparent and it has become possible to carry out all work paperless.
Under the vision of SU Vice-Chancellor Professor (Meritorious) Dr Muhammad Siddique Kalhoro, the Director Finance (DF) Syed Zainul Abdin Shah succeeded in bringing the entire finance wing on automated system after working day in and night out for a short span of a year.
A ceremony was arranged in this regard to introduce the automated system by the director finance in the Senate Hall, VC Secretariat of the University of Sindh, which was presided over by the Vice-Chancellor Prof. Dr. Muhammad Siddique Kalhoro here on Friday.
The event was attended by Deans of various Faculties, Heads of Departments, Syndicate members, Administrative Officers, the entire staff of the Finance Wing and the officials of RA Chartered and Accounts Company.
SU’s Director Finance Syed Zainul Abdin Shah in his briefing said that while joining the University of Sindh in December 2019, he saw that the finance wing was operating under a very old and traditional manual system, due to which there were burgeoning a lot of problems and issues in monetary matters.
He said he within 3 days after joining as DF, sent a letter to the former vice-chancellor stating that the entire wing needed to be improved through automation, but he was asked to continue with the manual system due to lack of funds. However, the DF stated that when he put this proposal before the present vice-chancellor Professor Dr Muhammad Siddique Kalhoro, he immediately accepted it and gave the task of shifting the finance wing from manual to automated system.
He said that the services of RA Chartered and Accounts Company were hired for the purpose of transforming the manual system into automated one, adding that he along with the assistance of his team members succeeded to complete the task within a year.
“We have given training to our concerned officers and employees twice with the help of the company so that they may professionally operate the newly introduced system”, Dr Shah said.
The director finance further said that earlier there were no standard operating procedures (SOPs) for the finance wing to work accordingly, but the SOPs had currently been prepared and they will be implemented after seeking approval from the Syndicate.
On the other hand, different sections including Payroll, Finance, Double Entry Book-keeping System and Double Entry Book-keeping Manual, Bank Statement and Bank Reconciliation, Budget and Integration of Admission and Fee Module have also been linked online with one another in order to make university budget, details of expenses, income and assets online.
By this automated system, the transparency could be maintained and everything will be easily available even during the audit. The pay slips could be emailed to the employees of the university every month after the new system is implemented.
Following the aforementioned automated system, the University of Sindh has become the first ever public sector University in Pakistan to introduce a transparent financial system in its finance wing.
Speaking on the occasion, SU VC Professor (Meritorious) Dr. Muhammad Siddique Kalhoro said that in the first phase the finance wing had been automated, however in the second phase, the Purchase Store section, Directorate of Students’ Affairs, Students’ Financial Aid, Information Technology Services Center (ITSC) and other offices will also be linked with the system.
He said that the existing system would also improve the collection & recovery system, reduce paperwork and save time as well as money adding that he would also move towards installations of electricity meters and bring the departments of the university on solar systems.
“These steps will get the varsity out of the financial crisis”, he maintained and said that the remuneration bills of teachers would also be generated automatically, after which it would not take much time to make such payments.
He announced that after the automation of the finance wing, the internship opportunities would be provided to SU graduates of BBA, MBA, Commerce, IT and others so that they could acquire the required skills and get jobs in the national job market.
He said that the financial leakages had been eliminated from all sections of Sindh University adding that after ameliorating the financial and administrative issues, he will opt for the academic reforms from the next year.
He said that no one would be allowed to tarnish the image of the university by spreading fabricated news and rumors, however, no compromise would be made on teaching and taking classes.
“Our professors are very professional with a pragmatic approach but there is still some negligent part being played by the few teachers. Negligence in any manner would never be tolerated when it comes to taking the classes”, Dr Kalhoro said.
At the ceremony, Director Finance Syed Zainul Abdin Shah presented a gift of Sindhi ajrak to the Vice-Chancellor Dr Muhammad Siddique Kalhoro, while the VC decorated the DF and the officials of RA Chartered & Accountants Company Muhammad Moiz, Mohsin Mir, Farrukh Ali and others with ajrak.
Earlier, Ali Gohar Noohani, Fouzia Shaikh and other officials of the finance wing expressed their happiness while presenting their views on automation systems.
At the end of the ceremony, SU vice-chancellor congratulated DF on transforming the manual system of the finance wing into an automation system and presented a certificate of appreciation to him. On the occasion, the other officers and employees of the finance wing were also given certificates of appreciation in recognition of their services. (04)
